Writing the decision line in variance memos

Many budget variance investigations stall after solid analysis because the memo never states what should happen next. Reviewers receive a tour of the ledger and an implied shrug. The decision line fixes that.

Four verbs that cover most desks

  • Accept — treat as explained; no further action this period.
  • Reclassify — move the amount to a different account or cost center.
  • Escalate — send to controllership or internal audit with a defined question.
  • Monitor — keep open with a trigger for the next close.

Place it where tired readers look

Put the decision line under the title, before the story. Evidence follows. If your financial auditing app has a status field, mirror the same verb there so workflow and memo do not disagree.

What not to write

Avoid “please advise” as the entire ask. Advise on what? A decision line names the option you recommend and the alternative you considered. That is enough for most standing reviews.
